WhatsApp Business app vs API: the differences, when to switch and how to keep your number

By Miguel Rivero, CEO at Ikusa Media · Updated

In short

The WhatsApp Business app is free and built for small businesses that reply from a phone. The API, the WhatsApp Business Platform, has no app of its own: it connects to your systems and to AI assistants, and Meta charges per message. With coexistence you no longer have to choose: one number can live in both.

What is the WhatsApp Business app?

It's the business version of WhatsApp that you download on your phone. Meta presents it as an app designed for small businesses: it includes a business profile, a product or service catalog, greeting and away messages, quick replies and labels to organize chats.

It's free and works just like WhatsApp, on your phone and up to four linked devices. Its limit is that a person answers everything by hand.

What is the WhatsApp Business API?

The API (officially the WhatsApp Business Platform, through Meta's Cloud API) isn't an app. It's the connection that lets your WhatsApp number work with other systems: an AI assistant, a CRM, a booking calendar or a shared inbox for several people.

To use it you need a Meta Business account in your company's name and, in practice, a provider to connect it, such as a Meta Tech Provider or Solution Partner.

What are the main differences between the app and the API?

  • Who replies: in the app, a person on a phone; with the API, a system, an AI assistant or several agents at once.
  • Cost: the app is free; with the API, Meta charges per message based on category and the customer's country.
  • Automation: the app has greeting and away messages and quick replies; the API allows full AI conversations, integrations and custom flows.
  • Business-initiated messages: with the API, outside the 24-hour window you can only send Meta-approved templates.
  • Interface: the app is the interface; the API needs a platform or an assistant on top.

How much does each option cost?

The WhatsApp Business app costs nothing and its messages are free.

With the API, since July 1, 2025 Meta charges per delivered message, based on category (marketing, utility, authentication or service) and the recipient's country code. According to its pricing page, checked on November 4, 2026, since October 1, 2026 each number gets 1,000 free service messages per month, with charges starting at the 1,001st. Meta changes these terms often, so always check the current documentation. On top of that comes what the provider charges for the assistant and its upkeep, which our guide on what a WhatsApp chatbot costs breaks down.

What is the 24-hour customer service window?

It's the rule that shapes API use the most. When a customer messages you, a 24-hour window opens in which you can reply with free-form messages; each new message from the customer resets it. Outside that window, your business can only write using Meta-approved templates, like a booking reminder or a promotion.

In practice, an assistant that answers people who message you works inside the window almost all the time. Templates come in when you want to write first.

When should you move from the app to the API?

The app falls short when WhatsApp stops being a conversation and becomes a sales channel. These are the clearest signs:

  • You get more messages than your team can answer in time, especially at night or on weekends.
  • You run click-to-WhatsApp ads and leads go cold before anyone replies.
  • Several people need to handle the same number in an organized way.
  • You want an AI assistant to answer, qualify and leave each case ready for your team.
  • You need to connect WhatsApp to your CRM, calendar or booking system.

Do I have to give up the app to use the API?

Not anymore. Since 2025, coexistence lets you connect a number you already use in the WhatsApp Business app to the API without removing it from your phone: your team keeps writing from the app and the assistant answers through the API. In the EU and the UK it has been available since October 23, 2025.

When you turn it on, a few app features change, like broadcast lists and disappearing messages. Our WhatsApp coexistence guide explains them in detail.

What are the risks of unofficial tools?

Some programs automate the app by imitating WhatsApp Web. They look cheaper, but they aren't the official route and they put your number at risk of being banned. If you want automation, do it through the API, with the account and number in your company's name.

Frequently asked questions

What people ask us most before starting. Still have a question? Message us on WhatsApp.

Is the WhatsApp Business app free?

Yes. Downloading it and sending messages from the app costs nothing. Meta's pricing applies to the API.

Can I add an AI chatbot to the WhatsApp Business app?

Not officially. The app has basic automated messages; an AI assistant requires the API. With coexistence you can have both on the same number.

Do I need a provider to use the API?

In practice, yes. A Meta Tech Provider or Solution Partner connects your number through official signup and provides the platform or assistant that runs on top.

Will I lose my chats if I move to the API?

With coexistence, no: the number stays in the phone app and one-to-one chats from the last six months can be synced.

What is a WhatsApp template?

A Meta-approved message your business can send outside the 24-hour window, like a reminder or a promotion. It's charged by category and the recipient's country.
