What an AI WhatsApp assistant is and how coexistence works
In short
An AI WhatsApp assistant is software connected to the official WhatsApp Business API that reads your customers' messages, understands what they want and replies with your business information at any hour. With coexistence, the same number keeps working in the WhatsApp Business app on your phone, so your team can jump in whenever they want while the assistant handles the rest.
What an AI WhatsApp assistant actually does
A menu bot makes people pick “1, 2 or 3.” An AI assistant understands normal sentences, like “do you have a table for four on Saturday?” or “how long does shipping to Miami take?”, and answers with what you taught it: services, hours, policies, delivery areas and the way your brand talks.
The goal isn't to replace your team. It's to make sure no message goes unanswered and every conversation reaches the person who closes the sale already organized.
- Answers common questions in seconds, day or night.
- Asks the right questions to qualify a lead: what they need, when, and where they're writing from.
- Books appointments, takes orders or sends payment links if your process allows it.
- Alerts your team when someone asks for a person or is ready to buy.
What coexistence is and why it matters
For years, connecting a number to the WhatsApp Business API meant you could no longer use it in the phone app. Many businesses didn't want to give up a number all their customers already had saved.
Coexistence fixes that. Meta lets you register a number that's already in use in the WhatsApp Business app, so messages arrive on both sides: the phone and the assistant's system. When you or your team reply from the app, the assistant can pause that conversation so nobody talks over each other.
There are details worth knowing before you switch it on: some app features may behave differently once the number is connected, and Meta requires business verification. A good provider walks you through them during the assessment, before touching anything.
Why the official Meta connection is the only safe one
Some tools automate WhatsApp by imitating a person on WhatsApp Web. They look cheap at first, but they break WhatsApp's terms and put the number at risk of being banned. If that number is your sales channel, the risk isn't worth it.
The official route is the WhatsApp Business Platform. To connect other companies' numbers, Meta requires the provider to pass verification as a Tech Provider. Ikusa Media is a Tech Provider approved by Meta: your number is registered through Meta's official flow and the account stays in your company's name.
What you need to get your assistant
The provider handles the technical side. What makes an assistant good is the information you give it and the rules you agree on together.
- A WhatsApp Business number and a Meta Business account in your company's name.
- Your business information: services, terms, hours, areas and answers to the questions you get every day.
- Clear rules: what it can say, what it can't, when it hands off to a person and how it closes.
- Someone on your team who receives the alerts and handles the cases the assistant passes on.
Transparency: the assistant doesn't pretend to be human
A good assistant never denies being AI when a customer asks, and it offers to connect them with a person. In Europe, the EU AI Act also requires telling people from the first message that they're talking to an automated system. At Ikusa Media we set it up that way by default.
Examples by type of business
The same principle adapts to each industry. What changes is the information the assistant works with and the moment it hands the conversation to a person.
- Restaurants: hours, menu, reservations and takeout orders.
- Hotels: availability, amenities, directions and booking requests.
- Retail stores: stock, shipping, payment options and order status.
- Real estate: filtering by area, property type and budget, and scheduling viewings.
- Clinics and professional services: booking appointments, pre-visit instructions and handing off anything a machine shouldn't answer.
How we do it at Ikusa Media
We start with an assessment of what your customers ask and how you answer today. We write the knowledge base and voice with you, connect the number with coexistence, test it with real conversations and, after launch, read the conversations every month to fix and expand it.
Our own WhatsApp is answered by Sofía, the assistant we built for Ikusa. If you want to see what it feels like from the customer's side, message her. And if you want one for your business, take a look at our AI WhatsApp assistant service.
