What a brand guidelines manual includes and why branding comes first

By Miguel Rivero, CEO de Ikusa Media · Updated

In short

A brand guidelines manual is the document that defines how your brand looks and how it's applied: the logo and its variations, colors, typefaces, correct and incorrect uses, and examples on social media, stationery and other formats. It's worth doing before you invest in ads or content, because without it every piece looks different and ad spend works harder for less. At Ikusa Media a branding project takes 15 to 20 business days.

A logo is not a brand

Plenty of businesses have a logo but not a brand. The logo is one piece; the brand is the whole system that makes your business recognizable on a billboard, in a Reel or on a box, even when the name isn't showing.

The guidelines turn that system into rules. Without them, every designer, printer or vendor interprets your brand their own way.

What brand guidelines should include

Useful guidelines aren't a decorative PDF. They're a tool anyone can follow without having to ask you. At a minimum, they should cover:

  • Logo and variations: primary, horizontal, stacked, icon, and versions for light backgrounds, dark backgrounds and small sizes.
  • Clear space and minimum size so the logo always reads.
  • Color palette with codes for screen (HEX, RGB) and print (CMYK and, where relevant, Pantone).
  • Primary and secondary typefaces, with hierarchy for headlines, body text and calls to action.
  • Incorrect uses: stretching, recoloring, placing the logo on backgrounds without enough contrast.
  • Applications: social media, stationery, packaging, signage, uniforms or whatever your business uses.
  • Final files in the formats your website, printer and ads require.

What more complete brands add

Depending on the business, the guidelines can grow to include a photography style (light, framing, backgrounds), iconography, templates for social and presentations, and tone-of-voice rules: how the brand talks, which words it uses and which it avoids. That last part is increasingly useful, because it also helps train an AI WhatsApp assistant to sound like your brand.

Why start with the brand before running ads

When a brand is scattered, customers don't connect what they see on Instagram with what they find on your website or in your store. Every ad has to earn their attention from scratch.

With a consistent identity, each piece builds on the last. That's why branding comes first in our method: if a client doesn't have guidelines, we start there before producing content or running ads.

When to refresh or redesign a logo

You don't always need to start over. If your logo looks dated, doesn't read well on a phone or no longer reflects the level of your business, a refresh can modernize it without losing what customers already recognize. A full redesign makes sense when the brand has changed direction or audience.

Common mistakes when creating brand guidelines

Poorly planned guidelines end up forgotten in a folder. These are the mistakes we see most often:

  • Designing the logo without studying competitors, and ending up looking like them.
  • Choosing colors that look great on screen but can't be printed accurately.
  • Using typefaces without a commercial license, or ones that aren't available for the web.
  • Not testing the logo at small sizes, like an Instagram profile picture or a favicon.
  • Delivering the guidelines without final files, or in formats nobody can open.
  • Not sharing them with vendors: guidelines nobody knows about are useless.

How we approach it at Ikusa Media

First we study your market and competitors to find how you can stand out. Then we define the concept, present proposals, refine them with you and build the guidelines with every final file. The whole process takes 15 to 20 business days from the moment we receive the brief.

If your brand needs that first step, take a look at our branding and brand guidelines service.

Frequently asked questions

What people ask us most before starting. Still have a question? Message us on WhatsApp.

How long does it take to create brand guidelines?

At Ikusa Media, a branding project takes 15 to 20 business days from receiving the brief. The exact timeline is in the proposal.

I already have a logo. Do I need guidelines?

Yes, if you want everyone who works with your brand to apply it the same way. Guidelines can be built around an existing logo, with or without a refresh.

What's the difference between brand guidelines and corporate identity?

Corporate identity is the set of visual elements of the brand. The guidelines are the document that defines them and explains how to use them.

Do brand guidelines include tone of voice?

They can. Defining how the brand talks keeps content, ads and even a WhatsApp assistant sounding consistent.
